Accessing all raw data for your account

Yes. Raw data reports are available to all users of the Star Online as CSV files, which can be opened with Excel, Access and many other spreadsheet and database applications, or as Excel files.

Raw data exports

To access the raw data exports, go to the reports dashboard, which you can reach via the main menu and dashboard, and select ‘export your data’ from the ‘advanced reports’ section on this page.

These reports are available to all users at their appropriate level of access, i.e. Star leads have access to everything, managers and workers to the appropriate data for services to which they've been given access.

Star data

This report consists of one row for each Star reading entered by your organisation. Each row contains information on the Star reading and the service user for whom it was completed.

It is available to all users and the data it contains is limited according to the services to which the user has been given access.

Service user data

This report consists of one row for each service user at your organisation. It includes information on each service user including their average change from their first to last Star readings. 

It is available to all users and the data it contains is limited according to the services to which the user has been given access.

Service user and Star data

This report consists of one row for each service user at your organisation. Each row contains every Star reading entered for that service user, as well as information about the service user.

When you select this report, you will be prompted to choose a version of the Star or one or more services before you download the file. This is because the file size can be very large for bigger organisations.

Unlike other raw data exports which are generated immediately upon clicking to download, when you click on "export service user and Star data" a lightbox is presented letting you know that the report will be emailed to you at the email address associated with your account.

Clicking "OK" on this lightbox will redisplay the "service user and Star data download" page with, if you have access to more than one service, the service/s you selected for the report ticked.

When the report is ready you will receive an email with a link to download it. The email includes a UK-based date and time stamp for when you selected to export the report. Clicking on the link or copying and pasting it into your browser will require you to login if you aren’t already and present the "report is ready" screen:

The report is available to you for two weeks to avoid it becoming out of date. Attempting to access the report via the links on the email after two weeks will present this screen with a prompt to re-run the report:

The "service user and Star data" report is available to all users and the data it contains is limited according to the services to which the user has been given access.

Star notes data

This report consists of one row for each Star reading entered by your organisation. Each row contains information on the Star reading and the notes entered. 

When you select this export, you will be alerted to the fact that, while the Star Online terms require organisations not to identify service users, notes fields are free text and so there is a possibility that your colleagues have entered very sensitive information that may identify the service user. We ask you to confirm you want to download and save the file and give you some tips on complying with the General Data Protection Regulation (GDPR). 

This report is available to all users and the data it contains is limited according to the services to which the user has been given access.

Action plan data

This report consists of details of all action plans entered on the system. It is available to all users and the data it contains is limited according to the services to which the user has been given access.

As with the Star notes report, when you select this export you will be alerted to the fact that it may contain sensitive information that could identify the service user. We ask you to confirm you want to download and save the file, and give you some tips on complying with the GDPR.

Management data

This report contains details of all Star Online users (workers and managers) your organisation has added along with their activity, including their last login, their caseload and the number of Stars they've entered.

This report is only available to managers (covering workers in their services) and leads (covering all account users).

Service data

This lists of all services set up on the Star Online system, which version of the Star has been selected and other details, the number of workers and managers within each.

This report is only available to leads and managers.

 

"Behind the scenes" of Star Online reports

When running on-screen Star Online reports, you can find out which service users and Stars are included and excluded from the report. This means you can dig down and find out what lies behind the average figures, and investigate any unexpected results.
